How can I be sure that children registered online are eligible for my community’s program?

Each program has a set area that they cover with their program called Coverage Area. This coverage area is programmed into that affiliate’s account. If a child is too old (already 5 or more), not yet born, the system will prevent the parent/guardian trying to register the child online.   The Book Order System will filter the address to put them into the correct affiliate or if there is no affiliate available it will notify them.

On a very, very rare occasion, due to highly specific affiliate needs, a child will be pending approval, but will still live outside the affiliate’s coverage area and will need to be denied acceptance into the database. In that case, only, the coordinator would log-on to the book order section of the website and from the Coordinator’s menu, click “pending children”, the window that appears will list the children waiting to be accepted and added to the database. The coordinator should click “edit” and review the information present for each child on the page. At this point, the coordinator would click “deny”.   The only reason to deny a child’s registration is if that child falls outside your coverage area. Again, this situation will almost always be filtered out before it reaches the “pending children” file, but due to some affiliate specifics in certain circumstances, the occasional child’s registration will fall into this category. Once a child is denied, an automatic email will be sent to the parent/guardian who registered the child to indicate to them that no program currently exists in their community of residence. Again, very rarely will a coordinator ever deny a child’s registration.
